Newsletter subscribers

A subscriber is a basic entity of your NewsletterManager Pro.
A non-assigned subscriber is he who is not subscribed to any lists. It is a good organizing practice to use lists and assign your subscribers to lists. If however a subscriber has opted-out from all lists but he did not do a global-opt out then he will remain in your system as non-assigned.
A subscriber can have a confirmed or a non-confirmed status depending on how you use the opt-in verification system. In Subscribers/Utilities (from the top menu) you can send confirmation reminders or manually confirm all subscribers with a single click.
Example
If you have activated the opt-in verification system then you will not probably want to send your newsletter to the non-confirmed subscribers. Therefore when you send the newsletter select also the "Yes" from the relevant menu that you have. Your newsletter will be sent only to confirmed subscribers.
Html - Text
You can create sign-up forms that give the option to a subscriber to select whether he wants to receive your newsletters in Text or in Html. Therefore when you send the newsletter select also "Html" (or Text) from the menu that you have. In this way you make sure that you respect your subscribers choices. If you do not use this criterion then select "All".

Personalizing your newsletters (merging)
Applies both to HTML and text newsletters. You type any of the following in the body of the email and this is replaced automatically. In HTML newsletters you may also use the 'Tag' menu of the HTML editor.
  1. #subname#: subscriber's name.
  2. #sublastname#: subscriber's last name.
  3. #subemail#: subscriber's email.
  4. #subcompany#: subscriber's company.

For frequently used variables you can also use this button: . This button will open the objects.asp page. You need basic coding skills to customize this page and add your own frequently used objects (like company name, logo, signature etc).

Free custom variables
In Menu / Tools / Configuration & settings you can enter some "'extra" variables such as phrases that you use regularly in your mailings. Example: your address, telephone number etc. Then you can insert them in the email body of an HTML newsletter using the "Tag" menu.

Personalized subject lines
If you type #subname# and #sublastname# in the subject of your newsletter they will be automatically replaced by the subscriber's name and last name.

It is recommended that you use #companyemail# and #companysite# variables instead of typing your email or your URL. When you type these yourself you will also have to define the hyperlinks. Which means that you must have some basic knowledge of HTML. When you use the variables, the program automatically takes care of this both in text and HTML emails.

Mailing lists

Consider a mailing list as a grouping of subscribers that have some common characteristics or interests. A mailing list is also a good and necessary tool for the grouping and management of your subscribers.

  • You may create as many mailing lists as you like.
  • For every mailing list you may define a name, a description (that your subscribers can see) and set it as public or hidden (not publicly available to subscribe).
  • A subscriber can belong to more than one mailing lists.
Using the "Filter+" feature you can also create sub-lists of a main mailing list. This sub-list is like a new fully functional mailing list. Example: all subscribers from my customers list that come from country X. Or those subscribed in a specific time period.

How to perform highly targeted follow-up campaigns
This is a unique marketing feature of Newsletter Manager Pro. Most mailing list programs stop at the point where you can see some basic statistics about your mailing. With Newsletter Manager Pro you can go a step further. You can isolate some subscribers based on their newsletter-reading behavior.
 
You can create a sub-list of subscribers who opened a specific newsletter or clicked on a specific link. The original list remains intact. And you have a new follow-up list with highly qualified prospects to focus and take further action.
 
Similarly you can create a sub-list with those subscribers who did not open the newsletter or did not click on a specific tracking link. In this way you can do a new sending only to this sub-list.
 
An alternative use of the follow-up feature is to use it to sort out non-performing subscribers. You create a follow-up list of the subscribers who opened the newsletter. These are the performing ones (the ones you want to keep). Then you may delete the original list and rename the follow up list or empty the original list and copy the subscribers from the follow-up list to the original list. The end result is the same; Your new list consists only of performing subscribers.

Custom sign-up forms

You decide what information to ask from your subscribers. Just check the boxes and press the create form button. The minimum and necessary information to ask is their email.
Hidden list
Some people do not want to use lists. In this case the following approach is recommended. From the "Lists" page create a new (hidden) list and give it any name you like. Then at the "Custom sign up forms" page ( Menu / Subscribers / Sign up forms / Create custom forms), at the drop-down menu that says "Use a hidden list" select the list you just created.
If you use the generated code then when a subscriber registers he is silently assigned to this list. He does not have to select anything. It is done automatically.
The approach described above greatly facilitates the management of your subscribers. See it is also a hint for other ideas (placing sign-up forms in several web-sites).

Password management

There are 6 basic ways to enter a subscriber into Newsletter Manager Pro.
  1. The subscriber uses the sign-up forms to subscribe
  2. The administrator manually adds a subscriber by:
    • adding one subscriber at a time
    • doing a bulk csv import
    • doing a bulk form import (names & emails)
    • doing a bulk form import (emails only)
    • doing a bulk import from an external db.
In all these cases if a subscriber password is not given it will be generated automatically. The password is used in the double opt-in confirmation process and it is also required when a subscriber attempts to log in to update his subscriptions.
The subscriber's password is also generated automatically when the subscriber forms are used.

Batch sending

This is a great feature to use if your host restricts the amounts of emails you can send per time period but also when you do not want to overoload your server.

  1. This feature is designed to work on any hosting environment.
  2. You must activate it in Menu / Tools / Configuration & Settings. There you will also define the number of emails to be sent (=batch size) and the time break (=batch interval) between two batches (mailings).
  3. Newsletter Manager Pro will send the first batch, pause, then send the next one and so on until all emails are sent.
  4. This feature does not require any third-party components be installed on the server and does not consume any server resources when pausing.
  5. The only requirement is that you must leave your browser open and be connected to the Internet until the sending is finished. At the end you will be notified by email about the status of the sending operation.
  6. Newsletter Manager Pro was the first mailing list and newsletter manager in the market to introduce a batch sending feature designed to work on any hosting environment.
  7. Even if you do not face any restrictions by your host, batch sending can be used to ease the load on the server especially when sending to large lists.

Attachments

  1. You can send many attachments within a single newsletter. Separate them with a comma (,). No spaces required.
  2. All your attachments must be placed in the attachments folder.
  3. To see and browse your attachments there is an integrated file manager that will work anywhere Active Server Pages (ASP) is supported. You can use it directly from the page where you edit your newsletter. Click on the icon next to the attachments input field and a new window will open. This window is an online file manager that actually shows you the attachments you have uploaded. Check the box of the file that you want to attach and the name is automatically entered in the input area.
  4. You can also copy your attachments through FTP.
  5. All files are supported and can be send as attachments. Docs, pdfs, images etc...

Un-subscribe link

For HTML newsletters
When you edit an HTML newsletter click on this icon . Select any word, phrase or image and choose the required action using the menu in the pop-up window. The available actions are:
  1. List opt-out: the subscriber will be directly deleted only from the specific list where he belongs and the email was sent to. He is not deleted from the subscribers table and he keeps the rest of his subscriptions (in other lists), if he has any.
  2. Global opt-out: the subscriber will be directly deleted from all the lists he is subscribed and from the subscribers table. In other words, he is permanently deleted.
  3. Update settings link: this link will directly log-in the subscriber into a password protected page where he can see all available lists, cancel and/or start new subscriptions update his name and email in a user-friendly and easy way.

For Text newsletters

  1. List opt-out: simply type unsubscribelink1.
  2. Global opt-out: type unsubscribelink2.
  3. Update settings link: type unsubscribelink3.
  4. The links will be automatically formatted and personalized for each subscriber during sending.

Clicks tracking

You do not need any third-party program to measure the followed-links statistics. It is integrated in Newsletter Manager Pro.
Newsletter Manager Pro uses automatic link tracking for Html newsletters and pre-defined link tracking for text newsletters.
For HTML newsletters
To activate link tracking for Html newsletters go to " Menu / Tools / Configuration & settings" and set the parameter: "Activate automatic clicks tracking for HTML newsletters?" to YES.
 
For Text newsletters
To activate link tracking for Text newsletters go to " Menu / Tools / Configuration &settings" and set the parameter: "Activate predefined clicks tracking for TEXT newsletters?" to YES.
Then go to the " Menu / Reports / Edit tracking links" page and add/define as many links as you like. A tracking link is not only a web site address or a URL. It can also be a link to a file, a document, an image etc.
Where you edit your text newsletter simply type http://tracklink1. Where 1 is the link id that you must change accordingly. You can see all id's in the tracking links page.
 
To see your clicks statistics
Click on the " Menu / Reports / Clicks tracking" link on the top menu where you can see for each newsletter-mailing list combination and each link in the newsletter the number of subscribers that clicked on it. If the same subscriber clicks on the same link more than once he is counted more than once. Therefore we have included the Unique clicks counter to filter subscribers that clicked more than once on a specific link. When the filter is ON each subscriber is counted once. When it is OFF then all clicks are counted. Switching it ON gives you a better indication of the overall success of your newsletter. Switching it OFF gives you an indication of how strong (=clicked many times) a link was. When OFF, it may show inflated results but this would be a good indicator that some or all of your subscribers were seriously interested in this link and clicked on it many times.
 
How it works?
  • When the subscriber clicks on the link in his email he first passes from a page where the statistics are updated and then forwarded to the destination page. This action happens instantly so the subscriber does not notice it. Try it.
  • Link tracking statistics apply only when sending to lists (not to a single recipient). Therefore for testing create a test list with 1-2 emails of yours.
 
Applications & benefits
  • Tracking links is a good marketing trick. This feature is also ideal for affiliate email marketing. Since you can have detailed statistics per mailing, you can even use this feature to sell advertising.
  • Suppose that you need to distribute an important document. You can send it as attachment but you can also define it as a tracking link. In this way you will know exactly how many subscribers opened the document. Note: you will know not only that they received the email but since they clicked on the link it means that they actually opened (or at least tried to open) the document.
Exporting to XL
You can export all your clicks tracking statistics to a spreadsheet like XL. Click on the icon that you see in the related pages. There are many export options:
  • You can export the whole summary of your mailings.
  • You can export the statistics of a specific mailing.
  • You can export the subscribers who clicked on a specific link in a mailing.

Views tracking

  • With Newsletter Manager Pro you can see if a subscriber opened the newsletter you sent. This is another way to know if and how your newsletter campaigns are performing. As in clicks tracking, you do not need any third-party program to capture and see your views-tracking statistics. It is integrated in Newsletter Manager Pro.
  • By open rate we mean the ratio of your subscribers who actually opened the newsletter to the total number of the subscribers it was sent to.
  • For example if a newsletter has a views ratio of 65% means that at least 65% of the subscribers in this list, that received this newsletter actually opened it.
  • Similarly to the 'unique clicks' concept, we have the 'unique views' concept. If a subscriber opens a newsletter at least one time he has a 100% open rate ratio. If he opens it more than one times he will show an inflated (above 100%) ratio.
    Example: You send your newsletter and after a couple of days you see:
    Unique views open rate: 65% (means that at least 65% of your subscribers opened the newsletter).
    All views open rate: 125% (means that these same 65 subscribers opened the newsletter more than one times). A very high, inflated open rate indicates that your newsletter was popular among the subscribers who opened it.
  • To apply views-tracking measurement you only have to activate it in the configuration area: Menu / Tools / Configuration & Settings.
  • In order for views-tracking measurements to be reliable the subscriber must be connected to the Internet at the time she opens her email and must allow picture downloading.
    Views and clicks tracking statistics when analyzed together can give you a lot of information about the effectiveness of your newsletter campaigns.

 

Exporting to XL
You can export all your views statistics to a spreadsheet like XL. Click on the icon that you see in the related pages. There are many export options:
  • You can export the whole summary of your mailings.
  • You can export the statistics of a specific mailing.
  • You can export the subscribers of a specific mailing.

Newsletter Manager Pro has a double opt-in confirmation system. You may enable/disable it in Menu / Tools / Configuration & Settings.
You can define all these screen messages and emails both in HTML and in text format in the Menu / Subscribers / Custom messages / Welcome & goodbye messages section. In addition you have utilities to send confirmation reminders, to manually confirm subscribers and to delete un-confirmed subscribers older than a given number of dates.
When it is enabled
  1. The subscriber is inserted with the status of "un-confirmed".
  2. He automatically sees the "Confirmation-required" on-screen message.
  3. The "Confirmation-required" email is automatically sent to him asking him to confirm his subscription.
  4. He clicks on the confirmation link in the "Confirmation-required" email, his status changes to "confirmed" and a new window opens with the "Welcome" on-screen message.
  5. The "Welcome" email is sent to him automatically.
When it is disabled
  1. The subscriber is inserted with the status of "confirmed".
  2. He sees the "Welcome" on-screen message.
  3. The "Welcome" email is sent to him automatically.
You may also use smart variables in all these messages. For the html messages you can use the "Tag" menu to insert them. For text messages you will find detailed explanation in the relevant page.
 
List listing (Chosen lists)
Another smart variable that you can have either in the weclome or confirmation-required messages/screens is the #listlisting#. By using it you can show the subscriber the lists he subscribed. You can use the #listlisting# either in the welcome message/screen (when the double opt-in confirmation system is not active) or in the confirmation-required message/screen (when the double opt-in confirmation system is active).
For the html messages you can use the "Tag" menu (chosen lists) to insert them. For text messages you simply type: #listlisting#.

Working with HTML code

Click on the HTML editor's button . that says "View/Edit HTML Full source". You will see the complete HTML code between the <HTML>, </HTML> tags. You can paste directly your own code and you can also save code in the <head> section. In this way you can add styles and css in your newsletter.
This feature is handy to use when you have prepared your newsletter using another program (Dreamweaver, FrontPage, etc.). Simply copy your HTML code and paste in the editor's pop up.

Uploading images

The HTML editor of Newsletter Manager Pro has an integrated upload utility for assets (images, media etc). Click on this button to open it: . With this utility you can upload your images without the need of third-party components (programs). It will work anywhere Active Server Pages is supported.

Mailing activity

A mailing activity is a sending operation. Using the Mailing activity tab of the top menu you can see related details of all your mailings and start a new mailing.
You can start a new mailing both from the page where you edit your newsletter and by using the Send+ feature. We recommend the Send+ feature since it offers you more options.
To continue a mailing operation that was interrupted click on the "Continue" link that you see in the column with the title: "Finished?". If you see a "Yes" in this column and this link is not available it means that your sending was completed successfully.
Pausing a mailing activity
If for some reason you want to stop your mailing then simply close the browser window that does the sending. Then at anytime later you can go to the mailing activity page and click on the "Continue" link. The sending will continue from the subscriber it stopped using the criteria (newsletters, list, filter, URL etc.) you defined earlier. It is simply a one-click operation.

Filter+

This is a very powerful feature of Newsletter Manager Pro. In this page ( Menu / Filter+ / Create new) you can,
  • perform advanced searches on subscribers
  • preview and export the results to XL
  • create filtered lists (sub-lists) based on the search results
  • create sending filters that you can save, refine and use in your mailings
Examples & tips
Using this feature you can find and create a sub-list or a mailing filter of subscribers who:
  • come from a specific country and subscribed after a certain date
  • have a certain zip code
  • have not updated their account since a given date
  • come from the same company
  • and much more...
More tips
suppose you want to do an offline campaign, print and send postcards to your subscribers. You would therefore need your subscribers names and addresses in a nice workable format. These are the steps:
  • Enter a . for subscriber email (all valid emails contain a dot but you can also ommit this step).
  • Enter a % for subscriber address and name.
  • Select the list or all lists or all subscribers depending on what you want to export.
  • At this point you can specify more search parameters.
  • Click on "Search".
  • Preview the result, if necessary refine your filters and click on "Search" again.
  • When ready click on "Export to XL". Open and save the file as an xls sheet.
  • Now you have an xls sheet containing your subscribers names and emails. Using third-party popular office productivity software you can do merging of this data, print letters, envelopes etc.
  • The trick here was the % for the address which did not work as a filter but returned all address-related fields. You can use this symbol (%) for all text fields that you want to retrieve their values but not use them as filters.
Create a sub-list or a mailing filter?
If you plan to make a new list that you will use in the future then it is better to create a sub-list with the search results. A sub-list is a new fully-featured list.
If you only want to do a few mailings to this subscriber group then it is perhaps better to create a mailing filter that you can use via the "Send+" menu. The answer really lies in your subscriber management approach.

Mailing filters

In this page ( Menu / Filter+ / View filters) you can see the mailing filters that you created with the "Filter+" menu.
If you are familiar with sql syntax you can refine the statements (if you need).
To test changes you do in the sql code open a new window with the "Send+" screen and experiment with the "Count" button.

Countries and states

You can add your own countries and states if you need so. By default you will find all countries and the USA states. The country (and state) values are stored with their two-digit code in the subscriber profile (table).
Tip: if you do not plan to use countries and/or states then you could use these fields for other subscriber data. You would not need to go to the database for that. But it will help you if you use them for subscriber information that can be presented in drop-down menus (since countries and states are already coded like that).

Send+

This is the main sending menu of Newsletter Manager Pro ( Menu / Mailing activity / New mailing-Send+). You will see related instructions for each menu item at the bottom of the page.
Although you can start a sending using the html (or text) forms this page gives you 4 extra options:
  • To apply a mailing filter
  • To do a count before you send so you instantly know the number of recipients
  • To create a new mailing but not send it right away. You can send it at a later time from the "Mailing activity" page.
  • To send a web page as a newsletter by entering the url of the page and a subject.

Testing email components

You can run a diagnostic test to check what email components are installed on your host server ( Menu / Email component test / Start the test). Before, make sure you entered your email, mail server, smtp username, password (if needed) in the "Configuration & settings" page.
At the end of the test (few seconds) you will see detailed results listing for all email components and you will also receive emails in your inbox. From the "Configuration & settings" page select the email component you want to use, set "debug emails" to Yes (just for initial testing) and go to the html form to send a test email to yourself.
What email component to use?
Windows native components such as cdo and cdonts perform generally faster. If you are on windows 2003 servers then most probably cdo will be available. Cdo can work in two modes (sendUsingPickUp and SendUsingPort). Newsletter Manager Pro supports both. If your host gives you the option to select between the two then the pickUp method is recommended. If you want to further fine-tune cdo (example: specify the pick up directory) then check and edit the code at the file inc/sendMail.asp.
Excellent and advanced options are also offered by Persits AspEmail.
Scheduling using email components
We have included some advanced features in the sendMail script of Newsletter Manager Pro for those who want to activate and use them. You can have scheduling using Persits AspEmail and Server Objects Asp Qmail.
Note: if you are on a shared hosting environment then in 99% of the cases you will not have such options. But if you run your own dedicated server then you can activate (in the script) and use them.

Importing from an external database

Example
You can use this feature if you already have a database (MS Access, SQLServer or mySQL) with the names and emails of your contacts and you would like to import these into Newsletter Manager Pro.
You can also use this feature to periodically update Newsletter Manager Pro with the new contacts you add in your main database.
Note: country and state codes should come (from the source database) in the 2 digit ISO code, as they are by default in Newsletter Manager Pro.

Inserting a link to your "Privacy" page

Applies only to Html newsletters.
You can edit your "Privacy" page by going to " Tools / Privacy page". This is a dynamically generated page that is located in the forms folder of your package.
When you edit your newsletter click on the objects button that you see in the editor's menu (bottom-right corner). Then in the pop-up window click on the link "Our privacy policy". You can change the wording from "Our privacy policy", if you need to do so both manually (while editing) and programmatically (in the file objects.asp).
This link is also trackable like all other links.
For text newsletters you simply enter: the url to your privacy page (example: http:www.yourdomain.com/nmanagerpro/forms/privacy.asp).
You may also define this link as a tracking link (for text newsletters).

Inserting a link to read the newsletter in a browser

Applies only to html newsletters.
When you edit your html newsletter click on the objects button that you see in the editor's menu (bottom-right corner). Then in the pop-up window click on the link "Read this newsletter in your browser". You can change the wording if you need to do so both manually (while editing) and programmatically (in the file objects.asp).
This is a dynamically generated page located in the archive folder of your package (newsletter.asp).
 
This is a very handy feature for many reasons:
  • It feels better to read a newsletter in a big window. The newsletter looks nicer.
  • It is safer in cases where the subscriber's email client is old or problematic.
  • This link is also trackable like all other links.
  • The view of this page is captured.
  • All clicks from this page are captured.

Newsletter for new subscribers

Go to Menu / Subscribers / Custom messages / Newsletter for new subscribers.
If you select a newsletter then this will be sent automatically when a subscriber uses the opt-in forms to subscribe. You can read more details in the page.

Send a web page using the url

You can send a full web page that is located on a web server by entering the url of the page. This is done with the Send+ menu ( Menu / Mailing activity / New mailing-Send+ ). You may also enter a subject for this email. It is like sending an html newsletter. If you have used smart tags (like #subname# etc.) then the page will be personalized for each subscriber.
With this method views and clicks tracking statistics work in exactly the same way when you send a newsletter that is stored in your database.

Pseudo-scheduling with Windows Scheduled Tasks

Newsletter Manager Pro has a pseudo-scheduling feature that allows users to start a new mailing by calling a page at the server from their local pc.
This approach may be convenient for some users and is a fair alternative to true scheduling.
It does not require you to install anything at the host server.
You can schedule a mailing using the Windows Scheduled Tasks of your pc. This is done by calling the page taskSend.asp and appending some variables at the end (see example below). The process is as follows:
  • First create a new mailing activity ( Menu / Mailing activity / New mailing (Send+)) and click on "Create Mailing to start later".
  • In the Windows / Control panel / Scheduled Tasks create a new task and select Internet Explorer as the program that you want to run. You may also select a different browser.
  • Enter a name for this task and the time that you want it to start.
  • In the properties of this task (tab: task) at the "Run:" line you will read:
  • C:\PROGRA~1\INTERN~1\IEXPLORE.EXE
  • At the end of the line leave a space and add: http://www.domain.com/nmanagerpro/admin/taskSend.asp?owner=taskManager&adminName=admin &AdminPassword=123&MailLogCode=61029165030
  • So the line will read like: C:\PROGRA~1\INTERN~1\IEXPLORE.EXE http://www.domain.com/nmanagerpro/admin/ taskSend.asp? owner=taskManager&adminName=admin &AdminPassword=123 &MailLogCode=61029165030
  • The above line is an example. You must replace the installation url the admin username and password and the mail log code. You can see the mail log code of this activity from the Mailing activity table ( Menu / Mailing activity / View not-completed mailings ).
  • Your existing batch settings will apply.
  • The result will be like any other mailing that you start manually.
  • By exploring the advanced properties of the task you created you can refine the whole operation. You can even "wake up" your pc to run this task.
